This has been supplied under an agreement between your employer and JCT600 Vehicle Leasing Solutions Limited.

We will be working with you whilst this vehicle is under contract to ensure its safe, efficient and cost effective operation. Our resources and team are at your disposal to give the best practicable support.

Throughout this driver handbook we give you details of the services we provide and our partner companies.

Service booking

To ensure quality and effectiveness JCT600 Vehicle Leasing Solutions has established a comprehensive network of agents to service your vehicle. Please contact our Service Booking department on 0844 879 3325 who will arrange your service booking. Alternatively click here to make a booking request.

Routine servicing

All servicing and maintenance must be carried out as specified by the manufacturer’s handbook/service history book and records must be maintained. Please familiarise yourself with the manufacturer’s servicing guidelines, as failure to do this may invalidate the warranty and render the hirer liable for the costs of repairs.

In addition to ensuring that routine servicing is carried out on time and to schedule, the driver is responsible for maintaining correct oil, water and other fluid levels e.g. brake, power steering, automatic transmission, AdBlue and ensuring that tyres are correctly inflated and conform to legal requirements. It is also the driver’s responsibility to ensure that the engine is adequately protected by antifreeze. If you are in any doubt contact our Maintenance Department on 0113 250 8506.

Vehicle servicing warnings

Many manufacturers include electronic warnings in their dashboard displays advising drivers when a service is required. Please refer to the Driver Handbook to familiarise yourself with the system used in your vehicle. If you have any doubts about the service frequencies, please contact our Maintenance Department on 0113 250 8506.

Oil consumption and extended servicing intervals

Manufacturers continue to extend service intervals and oil change frequency. It is ABSOLUTELY essential that the engine oil level is maintained using the appropriate quality and grade of oil, as specified in the Driver Handbook. Failure to do so could result in serious engine failure. You should note that it is the driver’s responsibility to check the engine oil level in accordance with the guidelines in the Driver Handbook. Any engine damage resulting from low engine oil level is not covered by the maintenance contract and any costs will be recharged to your company. NB: it is not uncommon for modern engines to use 1 litre of oil per 1000 miles.

Servicing costs

Please ensure that you book it under our name and ask the dealer to contact us for authorisation and invoicing at JCT600 Vehicle Leasing Solutions, Tordoff House, Apperley Bridge, West Yorkshire, BD10 0PQ.

Tyres – replacement

JCT600 Vehicle Leasing Solutions tyre replacement scheme is operated exclusively by Kwik Fit Fleet at either their tyre management centre or mobile van facility. Kwik Fit provide replacement tyres and effective repairs where appropriate. It is the driver’s responsibility to ensure that tyres are maintained in accordance with current legislation.

  • Replacement tyres must always be compatible with the remaining tyres.
  • The spare tyre must be brought into use on the first occasion that new tyres are required with the least worn tyre kept as a spare.
  • Tyres are replaced on the basis of fair wear and tear. Undue wear will be investigated and the hirer may be recharged if the driver is at fault.
  • The current minimum legal tread depth is 1.6mm across the centre 3/4 tread. However, we will normally recommend the replacement of a tyre if the tread depth has reached 2mm.

Tyres – punctured or damaged

JCT600 Vehicle Leasing Solutions will accept the costs of repairing punctures. If, however, the tyre is damaged beyond repair then the remaining tread depth will be invoiced to the hirer at net costs at the following rates:

8mm=100% 7mm=83.33%

6mm=66.67% 5mm=50%

4mm=33.33% 3mm=16.67%

Batteries and exhausts

You must use JCT600 Vehicle Leasing Solutions’ exclusive supplier which is Kwik Fit. They have been authorised to replace batteries and exhausts after the vehicle manufacturer’s warranty has expired. In all cases authorisation must be sought from JCT600 Vehicle Leasing Solutions by the fitting agent.

Windscreens and body glass

Your company is responsible for the cost of replacing windscreens and body glass so you should follow the procedures established by your head office and your insurers. Subject to the approval of your company, we are able to offer a 24 hour glass replacement service through Nationwide Windscreen Services. They are available on

Please note the cost of this service will be accepted by JCT600 Vehicle Leasing Solutions and passed on to your company.

Reimbursements

If you are obliged to pay for servicing or repairs in an emergency, or due to the lack of formal account facilities with the garage, please have the invoice made out in the name of JCT600 Vehicle Leasing Solutions and send it to our Maintenance Department at JCT600 Vehicle Leasing Solutions, Tordoff House, Apperley Bridge, West Yorkshire, BD10 0PQ, together with a note detailing your vehicle, its registration and request for reimbursement. A cheque will be sent directly to you, so remember to include your name and address.

Incidental repairs

Our full maintenance agreement covers the cost of all routine servicing, mechanical repairs and replacements due to fair wear and tear. However, there are certain items which are not covered and these include:

  • Damaged lenses
  • Damaged headlamps
  • Damaged mirrors
  • Damaged tyres
  • Vandal damage e.g. aerials
  • Broken glass – windscreen or body glass
  • Touching up of paint
  • Accident damage
  • Topping up of fluids between services e.g. engine oil, AdBlue.

Subject to your company’s approval the cost of these items may be accepted by JCT600 Vehicle Leasing Solutions and re-invoiced to your company.

Fitting of non standard equipment

“Extras” may be fitted retrospectively with JCT600 Vehicle Leasing Solutions’ permission, but please note:

  • They are at your expense to purchase, fit and maintain. We strongly recommend that all extras are fitted by a qualified installer as any repair costs consequential are chargeable to your company.
  • They must conform to all legal requirements and be compatible with the vehicle and its manufacturer’s recommendations.
  • Certain extras will require JCT600 Vehicle Leasing Solutions’ written approval e.g. tow bars.
  • If extras are removed at the end of a contract any damage must be made good.
  • Performance enhancing modifications are not permitted.

Radio code + key code

Please contact our Maintenance Department on 0113 250 8506 if you require the codes. Security checks will be made before the codes are given. Please follow the manufacturer’s instructions carefully when entering the radio code.

Tow bars

You must obtain the written approval of JCT600 Vehicle Leasing Solutions before a tow bar is fitted. Any item being towed must conform with legal requirements and the weight restrictions applicable to your vehicle. Failure to fit a compatible wiring kit may result in a serious electrical malfunction or render certain vehicle safety features inoperative. Please refer to your manufacturer handbook or contact your nearest franchised dealership for guidance.

MOT

When your vehicle requires a MOT inspection JCT600 Vehicle Leasing Solutions will notify your company at least 28 days before the due date. Please ensure that this is carried out as soon as possible and that the certificate is sent to JCT600 Vehicle Leasing Solutions. Failure to do so could result in a delay in obtaining a replacement Vehicle Excise Licence.

Remember it is an offence to drive a vehicle without a valid MOT certificate. Please check your lights, windscreen and tyres before the MOT inspection as JCT600 Vehicle Leasing Solutions will not accept a re-test fee due to failure in these areas. If your vehicle is not covered by a Maintenance Contract your company is responsible for the MOT inspection and any rectification work which may be required to obtain a certificate.

 

Breakdowns

Most manufacturers include a rescue service as part of the vehicle warranty. Details of the service are included in the manufacturer’s handbook. This should be used while the warranty cover is provided. If you are in any doubt about your cover please contact our Maintenance Department on 0113 250 8506.

Furthermore, we usually include a complete rescue service (roadside assistance, recovery and home start) within our full maintenance contract. However, to confirm your company has retained this service either refer to your Fleet Manager or our Maintenance Department on 0113 250 8506.

The rescue service is operated by the RAC. Please use the freephone number 0800 032 5950 for assistance. Whilst the RAC will assist in almost any situation you should note that your company may be recharged in the event of:

  • Assistance as a result of running out of fuel;
  • Mis-fuelling e.g. petrol into a diesel tank;
  • Locking yourself out of a vehicle;
  • A drained battery due to leaving the lights, radio or accessory on.

Please note that access to freephone numbers from a mobile phone are chargeable.

European Breakdowns

Check the manufacturer handbook to establish whether the manufacturer’s scheme includes PAN European breakdown cover. JCT600 Vehicle Leasing Solutions provides a basic level of European cover, but we strongly recommend that you take out more comprehensive breakdown cover for your European travel. Please also refer to the section on foreign travel.

Accidents

In the event that you require assistance as the result of an accident any subsequent costs will be your responsibility. As with breakdowns you may be able to use the rescue service provided with the vehicle. Failing that, the RAC will help. Call Freephone 0800 032 5950.

Tips

  • If your vehicle is involved in an accident please follow your company’s procedures. Ensure that you make a note of all relevant details of the accident including the names, addresses and insurance details of any third parties involved and of any witnesses. If the police attend you should also note their names and numbers.
  • If you break down on a busy road or motorway move the vehicle, if possible to the side of the road or hard shoulder. Do not stay in the vehicle, a surprising number of people are injured or killed while waiting for help.
  • If you stall the vehicle in a place of danger e.g. a railway crossing, release the handbrake, put it in first gear and turn the engine over on the ignition/starter motor. This should give sufficient power to move the vehicle from harm’s way.

Accident management

If your company has opted for our accident management service, please contact the service provider:

They will take care of the necessary operational and administrative details to ensure your vehicle is repaired quickly and cost effectively. Their service operates 24 hours a day, 365 days a year.

Accident reporting

Apart from the legal obligations to report an accident where injury or damage to third parties occurs, you must report any damage to your vehicle to JCT600 Vehicle Leasing Solutions, Tordoff House, Apperley Bridge, West Yorkshire, BD10 0PQ.

Included in contract

The precise details of your cover may be obtained from your Fleet Manager or by reference to our Maintenance Department on 0113 250 8506. To obtain a replacement vehicle please contact our Daily Rental department on 0113 391 1777 and provide the following information:

• The registration of your vehicle;
• The name and telephone number of the repairing garage;
• The nature of the fault and an estimate of the length of time the vehicle will be off the road.

Please note that the replacement vehicle will be from a class below that of your own vehicle.

It is your responsibility to arrange comprehensive insurance for the replacement vehicle.

You must ensure that repairs to your vehicle are completed with MINIMUM delay and to inform our Technical Services department when it is ready.

If your vehicle is not collected as soon as possible after repair then your company may be charged with the extra hire costs incurred.

When you return the replacement vehicle please ensure that it is full of fuel and that its condition is agreed and noted. Failure to do this will result in extra charges from the replacement vehicle provider.

Out of hours replacement

If you have to hire a vehicle outside normal working hours you must contact JCT600 Vehicle Leasing Solutions’ Daily Rental department on 0113 391 1777 on the next working day with full details.

Not included in contract

If your contract does not include a replacement vehicle facility you may take advantage of our Daily Rental service.  Please contact our Daily Rental department on 0113 391 1777 or by email at dailyrental@jct600.co.uk for the swift provision of a cost effective vehicle.

Please ensure that the replacement vehicle is comprehensively insured and when you return it that it is full of fuel and that its condition is agreed and noted. Failure to do this will result in extra charges from the replacement vehicle provider.

 

Documentation

If you wish to take your vehicle outside the UK you must obtain a letter of authority and a form VE103 from JCT600 Vehicle Leasing Solutions to satisfy EU legal requirements. Please make your request at least one month in advance of your departure by clicking here.

Please provide the following information:

  • Your vehicle registration;
  • Your name and address;
  • The names of all the drivers;
  • Your company’s name and address;
  • The countries to be visited;
  • Your dates of departure and return.

Permission can only be granted if your vehicle is covered by suitable recovery insurance e.g. RAC Eurocover, AA Five Star and details of your cover must be provided.

If required, JCT600 Vehicle Leasing Solutions can offer advice and assistance in obtaining suitable recovery insurance.

You must also inform your company’s insurance department to arrange a “green card” which ensures adequate insurance cover for the countries you intend to visit.

Service and maintenance abroad

All maintenance costs incurred whilst the vehicle is out of the U.K. are your responsibility. However, these may be reimbursed at the scale of repair charges applicable in the U.K. Please send any bills to our Maintenance Department at JCT600 Vehicle Leasing Solutions together with your name and address.

RAC European cover

JCT600 Vehicle Leasing Solutions has entered into an agreement with RAC under which it is able to procure the following benefits and services.

To obtain help in the event of breakdown, accident, fire or theft, or if the only qualified driver is medically unfit to drive, please call the RAC control centre listed and state that your vehicle has JCT600 Vehicle Leasing Solutions European Cover and give the following information:

  • Your name;
  • Your company name;
  • Your location and telephone number – if you are on a MOTORWAY refer to the breakdown on motorways section;
  • The make and registration number of your vehicle.

Breakdown on continental motorways

On continental motorways (including service areas) you MUST use the roadside emergency telephones. You cannot call RAC control centres from these. You will be connected to the police or authorised motorway service, who will send a breakdown recovery vehicle. However, this will only be to the recovery company’s own depot if they cannot fix your vehicle – contact RAC using the numbers listed as soon as you can, if possible from the recovery company’s depot.

You may have to pay labour and towing charges on the spot – an authorised tariff is normally applicable. You should obtain a receipt to claim a refund on your return home.

Travellers tips

When buying alcoholic drink or tobacco for importation please be aware that customs officials use, as a yardstick, amounts appropriate for personal consumption. Vehicles and their contents have been confiscated for breaches of the regulations.

  • Do not use any form of radar or speed trap detection equipment.
  • Be aware that on many foreign motorways your average speed is detected through time stamped toll tickets.
  • Levels of blood/alcohol permitted are often lower than UK limits.
  • A reflective warning triangle must be displayed if your vehicle breaks down
  • “On the spot” fines are commonly levied for driving offences.

Parking fines and fixed penalty notices

All parking fines and fixed penalty notices are the direct responsibility of the driver. If payment is not made by the due date a final notice will be sent to JCT600 Vehicle Leasing Solutions by the appropriate authority. THESE NOTICES ARE PAID IMMEDIATELY AND YOUR COMPANY WILL BE INVOICED TOGETHER WITH AN ADMINISTRATION CHARGE. If you are contesting the fine you must notify JCT600 Vehicle Leasing Solutions in writing within 7 days so that we can instruct the issuing authority accordingly. In any event an administration fee will be charged by JCT600 Vehicle Leasing Solutions.

Traffic cameras

As the registered owner of your vehicle we are served with tickets for speeding, bus lane infringement, traffic light offences and other “moving traffic” offences. JCT600 Vehicle Leasing Solutions is legally obliged to identify the user of the vehicle so we inform your Fleet Manager. Please note JCT600 Vehicle Leasing Solutions will levy an administration fee.

Congestion charges

Vehicles entering areas where congestion charges apply are liable for any fines as a result of not complying with charging procedures. These fines are paid by JCT600 Vehicle Leasing Solutions as they are not transferable. You will, though, be recharged together with an administration fee.

Vehicle Condition

It is in the interests of you and your company to keep your vehicle in the best possible condition. Apart from giving your friends, colleagues and business acquaintances a good impression, your well cared for vehicle will help contain your company’s costs and will be more likely to provide fault free motoring. Our service providers should help you to maintain the good condition of your vehicle. Please contact our Maintenance Department on 0113 250 8506 if any issues arise.

Fair Wear and Tear Policy

JCT600 Vehicle Leasing Solutions adheres to the BVRLA “Fair Wear and Tear” guide when evaluating the condition of your vehicle at the end of its contract.  When your vehicle returns to us it is inspected and if any charges are due an electronic condition report and damage estimate is produced to substantiate them.

A brief definition of what we define as acceptable condition appears in the following sections of our End of Contract guide. A copy of the BVRLA Fair Wear and Tear guide is available on request.

Bodywork

This should be well maintained and free from dents, visible signs of accident repairs, excessive and untreated stone chips and scratches that cannot be removed by polishing. It should also be free from holes caused by the fitting of accessories such as tow bars and phone aerials. Consideration will be given to the type and use of the vehicle when any assessment for reinstatement is made. Please note that it is a contractual condition that any damage sustained by the vehicle is notified to JCT600 Vehicle Leasing Solutions and that a poor quality repair may result in the vehicle being returned to its driver for rectification. In this event the contract rental will remain payable.

Windscreen, Body Glass and Light Lenses

These should be free from chips, cracks and other damage.

Interiors

The interior of the vehicle should be well maintained and free from unsightly repairs, stains, tears and burns. There should be no damage to the trim as a result of the fixing of accessories, such as mobile phones and satellite navigation.

Service History – Full Maintenance Contract

Your vehicle should have been serviced and repaired in accordance with the manufacturer’s specifications and the Manufacturer Service History Book should be stamped accordingly.

Service History  – None Maintenance Contract

• Your vehicle should have been serviced in accordance with the manufacturer’s specifications and preferably at a franchised dealership. Its service history must be documented and the Manufacturer Service History Book should be stamped.
• It must be returned in a safe, legal and roadworthy condition.

Any consequential losses suffered as a result of inadequate servicing and maintenance will be charged to your company.

Wheels

All wheels, including the spare, should be free of any damage or corrosion through lack of cleaning.

General

Any item which requires replacement e.g. a broken aerial, a damaged wing mirror, will be recharged to your company.

Spare Key

The driver is responsible for the care and return of all keys supplied with the vehicle. Please ensure that this key is stored securely away from the vehicle and that it is returned with the vehicle at the end of the contract.

If the vehicle is transferred to another user you should ensure that the Spare Key is passed to the new driver.

Failure to return the Spare Key will result in a financial charge of circa £200. These costs will be recharged to your company.

Locking Wheel Nut Key

The driver is responsible for the care and return of the key/tool and that it is returned with the vehicle at the end of the contract. Failure to return the Locking Wheel Nut Key will result in a charge to your company.

Driver Purchase

If you, a member of your family or a colleague are interested in buying your vehicle on termination of its contract please contact our Vehicle Disposals department on 01274 657 529.

We will be pleased to give you a purchase price up to one month before the expiry of a contract. This will be at a considerable saving over showroom prices. Your knowledge of the vehicle and its service history gives you a tremendous advantage over a usual used vehicle purchase.

Please note that, due to taxation considerations your vehicle cannot be purchased by your company.

To give you a price we need your registration and its current mileage.
